Executive Assistant

We are looking for an Executive Assistant to support our executives. You will manage mostly business related tasks for the executive such as organizing travel and accommodation, arranging meetings, taking minutes, and other organizational related tasks.

SparkLabs Taipei is part of the SparkLabs accelerator network — a global accelerator network founded by entrepreneurs, for entrepreneurs. Established in 2018, SparkLabs Taipei offers a strategically designed accelerator program to help founders grow and scale their startups into world-class businesses. Since our inception, we’ve already accelerated 35 startups. ​

 

A short brief on your role:

The Executive Assistant’s responsibilities include managing calendars, making travel arrangements, and supporting office duties.

To be successful in this role, you should be extremely fast at solving problems, well-organized, have great time management skills and be able to act without guidance. It would be perfect if you have experience as an executive or administrative assistant in the past.

Responsibilities:

  • Screen and direct phone calls and distribute correspondence.

  • Manage executives’ calendars and set up meetings

  • Helping prepare for meetings and accurately recording minutes from meetings.

  • Making travel arrangements and accommodation arrangements for executives.

  • Handling basic bookkeeping tasks.

  • Provide general administrative support and perform office duties that include ordering supplies and managing a records database.

 

Requirements:

  • Proven experience as an executive assistant or other relevant administrative support experience.

  • Outstanding organizational and time management skills to organize a daily workload by priorities.

  • Strong Microsoft Excel skills required and G Suite applications.

  • Must be able to meet deadlines in a fast-paced quickly changing environment.

  • A proactive approach to problem-solving with strong decision-making skills.

  • Professional level verbal and written communications skills both in Chinese and English.

Preferred (not required, but good to have):

  • Good familiarity with the startup scene and culture

  • Able to thrive in a fast-paced, high-growth and tight-knit company

  • Have knowledge in VCs/accelerators/corporate innovation
